How to share documents with other portal users?

Introduction

You have created or imported some documents to the portal and would like to share them with
your colleagues so that they could view and edit them right on the portal?

Follow these easy steps to make your documents available to other users.

Step 1. Access the TeamLab Documents

Enter your TeamLab portal and click the Documents link.

In case you have already logged in to the portal and been using it for some time click the Documents link at the top of the page.

Step 2. Select the necessary documents

The My Documents folder opens.

Browse the list for the necessary document. To facilitate the search you can display files of the selected type only using Filter or sort them by date, name, type or size using the corresponding options from the Sort drop-down list.

If you need to share a group of documents you can either share them one by one or create a subfolder using the Create Folder link at the top of the page, put all your documents in the created subfolder and share the whole subfolder at once.

Step 3. Choose a user or a group of users

Click the Sharing Settings icon icon to the right of the necessary document or use the Sharing Settings option from the context menu.

The Sharing Settings window will pop up. Go to the Give access to portal users section. Click one of the links at the bottom:

  • use the Add users link if you wish to share your document with one or more people;
  • use the Add groups link if you wish to share your document with all portal users, a group, or portal administrators only.

Select a person (a group) from the list. Use the filter field at the top to facilitate the search.

The selected person will be added to the Give access to portal users list. To remove a person (a group) from the list just click the corresponding Delete icon - recycle bin icon.

Step 4. Set permissions

By default, the document or folder will be available in read-only mode. To give the user full access to the document so that he/she could not only view but also edit your document, click the Read Only link and select the corresponding option from the list.

Note! Note: to block the access previously granted to the user just select the Deny Access option.

If you wish to notify the selected users about the shared document leave the Send notification box checked. You can also add an accompanying text which will be included into the standard notification message clicking the Add message link and entering your text in the field which appears below.

To apply the changes click the Save button.

The shared document/folder will be displayed in the Shared with Me folder of the selected user.
